Five easy steps to implement a new customer in your VMS

Implementation: The dirtiest word in tech

Who knows a story about an implementation taking far more time than initially planned? Everyone? Implementation horror stories aren’t rare, right? This originates not from the fact that all implementations are badly managed, this is more due to the fact that there is a lot of complexity in implementation projects, and often a mis-allignment in terms of collaborative expectations. There are different teams involved, there are different workstreams to manage and don’t you dare underestimate the change management which is needed.

Implementation does not have to be so painful

The design of our system allows our partners to manage multiple end-customer programmes in a single environment, facilitated through multi-tenancy. Multi-tenancy is the formula for scalability and we have designed the solution especially for our partners like managed service providers or HR service partners. Multi-tenancy supports those partners in managing multiple workforce management programmes, within a single solution. Due to the fact that multi-tenancy is the DNA of our system, all configurations, settings and data can be used for an end-customer, or can be used for a set of end-customers. This enables our partners to get their customers up and running in a couple of clicks.

Five steps to implement a tenant

To add an extra customer into the multi tenant environment of the partner, there are five steps to be taken.

  1. Define scope and workflows. Our partners will define the scope of functionality and the workflows per entity. In your multi-tenant environment, there is a standard set of workflows available, which helps deciding on the set-up with the end customer.
  2. Data gathering (customer data). Based on the functional requirements the required data set can be defined. Together with the customer the data gathering sheets are filled with departments, users and cost centres.
  3. Configuration of workflows or select an existing workflow set for the new customer. Nétive utilises an integrated process builder to maintain workflow configuration and page configuration. Therefore adjustments to the design can quickly be implemented in the VMS environment. First, the acceptance environment is updated to test the new set-up; thereafter the live environments are updated.
  4. Data set-up. The gathered data needs to be put in the system. To support data to be entered into the system, Nétive is able to import large files (e.g. users, cost centres, departments, current assignment data).
  5. Final acceptance testing. Final acceptance testing can take place with the customer to be able to approve go live.

Free of charge

To add a new customer to the multi-tenant environment there are no extra costs charged. If the new customer makes use of an existing set of workflows and no data import is needed, there is only one free-of-charge service request needed to link a customer to a set of workflows. Everything else can be done by the partner’s system administrator.
